SAP DAILY ACTIVITIES

1] Check that all the application servers are up:
sm51 SAP Servers
sm04/al08 Logon Users

2] Check that daily backup are executed without errors
db12 Backup logs: overview

3] SAP standard background jobs are running successfully. Review for cancelled and critical jobs.
sm37 Background jobs--- Check for successful completion of jobs. Enter * in user-id field and verify that all critical successful jobs and review any cancelled jobs.

4] Operating system Monitoring

5] Extents monitoring
db02 Database monitoring--Check for max-extents reached

6] Check work-processes(started from sm51)
sm50 Process overview-- All work processes with a running or waiting status.

7] Check system log
sm21 System log-- Set date and time to before the last log review. Check for errors ,warning, security, message-bends, database events.

8] Review workload statistics
st03 Workload analysis of
sto2 tune summary instance

9] Look for any failed updates
sm13 update records

10] check for old locks
sm12 lock entry list

11] Check for spool problems
sp01 spool request screen-- check for spool that are in request for over an hour.

12] Review and resolve dumps
st22 ABAP Dump analysis

13] Checking .trc file in SAP trace directory for block corruption on daily basis.

Insert the archive backup tape

15] Review NT system logs for problem

Outputting Applicant Activities in SAP HR

Use

You can either output one particular activity or a complete list of activities for an applicant.

The system also enables you to create statistics of all activities for a vacancy as well as a list of all the planned activities for a personnel officer.

Use

Occasionally, data from a second applicant activity is needed for use in a letter, mail, or for data transfer to Personnel Administration. The system includes this data automatically in the text if there is a reference between the activity requiring the additional data and that from which the data is to be accessed.


You want to include data from the activity Appointment for interview in the letter for the activity Invite for interview. In this case, you define the activity Appointment for interview as the reference activity of Invitation to interview. This will mean that data such as the date and time of the interview will be imported automatically into the letter for the activity Invitation to interview.

Please note that only one reference activity may be assigned to each applicant activity.

Reference activities can be created in the following ways:

  • You can define a reference activity between two existing applicant activities. For more information, see
  • Create/change/delete reference activity for an applicant activity.
  • You can also create a reference activity when you are creating follow-on activities for an existing applicant activity. This option is normally preferable since it only involves one additional step. For more information, see

Displaying and Editing Planned Applicant Activities by Personnel Officer in SAP HR

  1. Choose Applicant activity
  2. ® List planned activities.

    The Planned Activities for Personnel Officer screen appears.

  3. In the Personnel officer field, enter the desired personnel officer's ID.
  4. Enter any further selection criteria required.
  5. Choose Program
  6. ® Execute.

    The Planned Activities for Personnel Officer screen appears. The system displays a list of all planned activities to be performed by a particular personnel officer by a certain date.

  7. To edit an activity from the list of applicant activities, select the activity you want to edit, and choose Edit
  8. ® Maintain activity

The Maintain Applicant Activities screen appears listing all completed and planned activities for the applicant. You can edit the activities directly from this screen.


After editing an applicant's activities, you can return to the list of planned activities for the personnel officer by choosing Back.

Creating Statistics of Applicant Activities for a Vacancy in SAP HR

  1. Choose Advertising
  2. ® Vacancy ® Evaluate.

    The Vacancies screen appears.

  3. In the Vacancy field, specify the vacancy whose status in the selection procedure you want to display, and choose Program
  4. ® Execute.

    The Evaluate Vacancies screen appears.

  5. Select the vacancy you want to evaluate, and choose Edit
  6. ® Applicant statistics.

    The Applicant Statistics screen appears.

  7. Select the Total status and choose Goto
  8. ® Activity statistics.

    A window is now displayed entitled Activity Type, in which you can select the activity types for which you want to display the status of the selection procedure for the vacancy.

  9. Choose Select all to select all the activity types displayed, and then choose Continue.

The Applicant Statistics screen appears.

Result

The system displays statistics on the applicant activities for the selected vacancy.

Creating Follow-Up Activities for an Applicant Activity in SAP HR

Prerequisites

  • If one or more applicant activities already exist for an application, there is an easy way to create follow-up activities. Depending on the activity you select, the system will propose suitable follow-up activities. If these are suitable you can adopt them as follow-up planned or completed activities for the application.
  • You are on the
  • Maintain Applicant Activities screen.

Procedure

  1. Select the desired activity, and choose Edit
  2. ® Follow-up activities.

    The Choose Follow-Up Activities screen appears.

  3. Select Planned or Completed for all activities you want to adopt as planned or completed follow-up activities.
  4. If you want an activity to refer to its previous activity, select Reference for the follow-up activity.
  5. Choose Transfer.
  6. Enter data in the fields required, and choose Transfer. Perform this step for every follow-up activity selected.
  7. Save your entries.

Result

You have created one or more follow-up activities for an activity.

Maintaining Applicant Activities in SAP HR

  1. Choose Applicant activity
  2. ® Maintain.

    The Maintain Applicant Activities screen appears.

  3. In the Applicant number field, enter the desired number.
  4. Choose Edit ® Execute.

    1. If an applicant has several applications, select the one you want, and choose Edit
    2. ® Application.

The Maintain Applicant Activities screen appears.

Result

The system displays all planned and completed activities for the applicant selected.

Applicant Activities HR Recruitment Grouping of Applicant Data - (infotype 4003)

Definition

You use the Applicant Activities infotype (4003) to enter the activities that have been created for an applicant.

Use

Activities carried out for an applicant within a selection procedure are entered, logged and planned in the Recruitment system by means of applicant activities. In other words, applicant activities are administrative stages through which an applicant passes during the course of the application procedure. Correspondence with applicants is also handled by means of applicant activities.

You can only display applicant activities in applicant master data (you cannot edit them here). To create or change applicant activities, choose Applicant activity ® Maintain.

The time constraint for this infotype is 3.

Definition

You use the Status of Applicant Activities infotype (4004) to specify the following for an applicant:

  • Whether any planned activities exist for this applicant
  • Whether any recurring tasks have to be performed (such as sending a message, or printing a letter)

Use

Each applicant has one Status of Applicant Activities (4004) infotype record. This is created and updated automatically.

The Status of Applicant Activities infotype (4004) contains data that is required for running certain reports (for example, reports that affect recurring tasks).
