Reply from PMassey48 on Dec 21 at 12:15 PM Dear all, Roy is quite correct, however if you think it through a little further, the credit note is at this time merely a memorandum document (as Roy has correctly indicated) - by all means add some text referencing this credit note to the payment transaction. I would differ from Roy on one point, in that I would not debit the normal vendor account, I would debit a specific "vendor prepayments" account (which would be under the general vendor category as far as the balance sheet is concerned). The fact that your supplier has issued a credit note means that in due course he will issue an invoice for the full amount; it is at this stage that the credit note becomes important. The invoice would be credited in full to the vendor account (credit P&L, stock, fixed assets, as appropriate), but the credit note should be debited to the vendor account and credited to the vendor prepayment account, thereby reducing the vendor prepayment to zero and leaving the net amount outstanding as payable on the vendor account. This approach gives a very clear audit trail. One final point, please check the position regarding VAT (TVA). If the vendor has included VAT in his credit note then make sure that this is correct as there is no universal rule whether it should apply or not, and this area is a frequent source of errors. I hope that this helps.

So what is he going to post? He has made a down payment. Now he says he has received a credit note for that down payment. So what do you propose he should book? Debit vendor and credit what? Then he has two debits on his vendor's account, one credit at the bank and the other credit where? Think these things through before you shoot off an answer that actually makes no sense, please.
